Organizational Context
The International Federation of Red Cross and Red Crescent Societies (IFRC) is the world’s largest humanitarian organization, with a network of 192-member National Societies. The overall aim of the IFRC is “to inspire, encourage, facilitate, and promote at all times all forms of humanitarian activities by National Societies with a view to preventing and alleviating human suffering and thereby contributing to the maintenance and promotion of human dignity and peace in the world.” The IFRC works to meet the needs and improve the lives of vulnerable people before, during and after disasters, health emergencies and other crises. The IFRC is part of the International Red Cross and Red Crescent Movement (Movement), together with its member National Societies and the International Committee of the Red Cross (ICRC). The work of the IFRC is guided by the following fundamental principles: humanity, impartiality, neutrality, independence, voluntary service, unity, and universality. The IFRC is led by its Secretary General, and has its Headquarters in Geneva, Switzerland. The Headquarters are organized into three main Divisions: (i) National Society Development and Operations Coordination; (ii) Global Relations, Humanitarian Diplomacy and Digitalization; and (iii) Management Policy, Strategy and Corporate Services. The IFRC has five regional offices in Africa, Asia Pacific, Middle East and North Africa, Europe, and the Americas. The IFRC also has country cluster delegation and country delegations throughout the world. Together, the Geneva Headquarters and the field structure (regional, cluster and country) comprise the IFRC Secretariat. This role sits within the IFRC Country Cluster Delegation (CCD) based in Indonesia, however part of APRO Membership Services Unit. The Data Administration Intern will assist the APRO Development and Planning Specialist in managing the administrative aspects and in supporting on mapping in relation to AP National Societies Capacities and Statutory Meetings.
Job Purpose
The Data Administration intern will be supporting on updating and creating database of Asia Pacific National Societies in relation to Capacity Mapping and Statutory pledges. The learning objective of this position is on having understanding on building database and peer-to-peer engagement amongst NS on RCRC.
The Data Administration intern will work under direct supervision and technical support from Regional Development and Planning Specialist and the MSU Administration Officer.
Job Duties and Responsibilities
The Incumbent will work closely with the IFRC PMER (FDRS), NS Preparedness (HDCC), IM, MSU and other identified APRO technical units to execute the following tasks:
Data review and update:
- Assessing existing database within IFRC Secretariat in relation to NS Capacity;
- Updating NS Basic Profile, based on existing information on FDRS, Go Platform (including PER) and provide the updated information on agreed template/platform;
- Creating a database of AP National Societies International Conference, Council of Delegates pledges and report tracker;
- Updating NS legal basis database;
- As part of learning, providing analysis on NS capacity in AP region.
Communication and Coordination
- Coordinate with the Regional Development and Planning Specialist on by-weekly basis to update the progress status;
- Maintain a good and close communication with other APRO colleagues.
Education
- Relevant university degree or equivalent knowledge (related to data administration);
- Relevant professional training courses (Red Cross/Red Crescent related, humanitarian and development sector, management, etc.) is preferred.
Experience
- Experience in the Red Cross/Red Crescent Movement, including time in the field and/or with a National Society, specifically with Indonesian Red Cross;
- Experience of data administration and management;
- Experience in data analysis work.
Knowledge, Skills and Languages
- Having good presentation skills;
- Knowledge in business writing skills both in Indonesia and English language;
- Good communication and interpersonal skills for effective working relation;
- Strong knowledge on database applications;
- Computer skills: Windows, Word Processing, PowerPoint, Excel & Ability to use video conferencing application i.e Microsoft Teams, Zoom;
- Ability to prioritize, work well under pressure and meet deadlines. Able to achieve results through collaboration/teamwork.
- Fluently spoken and written English;
- Fluently spoken and written Bahasa Indonesia.
