Job Overview:

The Office Administrator will be responsible for managing the day-to-day administrative operations of a residential painting business. The ideal candidate will have experience in office administration, exceptional organizational skills, and a high level of attention to detail.

Responsibilities:

  • Reception and customer service: Provide professional and friendly support to customers over the phone. Respond to customer inquiries, schedule appointments, and follow up on invoicing.
  • Office management: Oversee the day-to-day operations of the office, including organizing and maintaining office files, ordering supplies, and ensuring the office is clean and organized.
  • Scheduling and appointment management: Manage the scheduling of appointments for the painting crews, including coordinating with customers, tracking appointments, and ensuring appointments are completed on time. This will also include the estimator’s schedule as well.
  • Accounts payable and receivable: Handle the company's accounts payable and receivable processes, including invoicing, processing payments, and reconciling accounts.
  • Marketing and advertising: Assist with marketing and advertising activities, including preparing and distributing flyers, brochures, social media and other promotional materials.
  • Data entry and record-keeping: Maintain accurate and up-to-date records of customer information, job details, and financial transactions.
  • Human resources support: Provide administrative support for Human Resources, including maintaining employee files, processing payroll, and assisting with benefits administration.

Requirements:

  • 2+ years of experience in office administration
  • Excellent communication, organizational, and customer service skills
  • Strong computer skills, including proficiency in Microsoft Office and accounting software
  • Ability to work independently and handle multiple tasks in a fast-paced environment
  • Attention to detail and accuracy in data entry and record-keeping
  • Ability to maintain confidentiality and handle sensitive information
  • Ability to work in an office and remotely.
