Position Overview

The Division of Mental Health is seeking to hire an Office Associate for the Chester Mental Health Center located in Chester, Illinois to perform a variety of complex, specialized clerical duties as a float for the living units (A, B, C and E). Keyboards various documents such as correspondence, reports, assessments, etc., which contain medical, psychiatric, psychological and legal terminology. Provides clerical office support to unit staff. Maintains all patient clinical records. Answers telephone and directs callers to appropriate staff.

Job Responsibilities

  • Performs a variety of complex, specialized clerical duties as a float for the living units (A, B, C and E) for supervisory and professional staff.

  • Provides clerical office support through keyboarding a variety of correspondence, e.g., letters, memorandums, notices, etc. to unit staff, from handwritten hard copy and transcribes from prerecorded dictation.

  • Maintains all patient clinical records in accordance with the facility's Clinical Entry Record Guidelines, e.g., files all types of reports, medical lab results and other related documents.

  • Answers telephone, determines nature of calls, directs callers to appropriate staff and takes messages, distributes e-mails received to appropriate staff and responds to information requests from staff.

  • Maintains a database for notifying all medical, psychiatric, and clinical staff of scheduled due dates for treatment reports.

  • Performs other duties as assigned or required which are reasonably within the scope of the duties enumerated above.

Minimum Qualifciations

  • Requires knowledge, skill and mental development equivalent to completion of high school and two years of office experience.
  • Requires the ability to keyboard accurately at a rate of 45 wpm.

Conditions of Employment

  • Requires the ability to meet all agency vaccine/health-related policies and guidance.

  • Requires the ability to pass the Illinois Department of Human Services background check.

  • Requires ability to pass a drug screen for drugs prohibited from recreational use under Illinois Law.
