- Under the supervision of the Senior Marketing Manager, the Conference events planner and coordinator leads and drives relationships between embecta and conference organizations/exhibit houses, manages conference logistics, and support the conference marketing lead in driving a successful embecta conference presence and experience.
- The ideal candidate should be experienced in conference planning, managing logistics, and managing relationships, time, and priorities effectively.
Requirements:
- Must be ORGANIZED!! Great attention to detail!! This person will be handling mainly the logistic and planning side.
- This person must have experience in doing preparation set ups for conferences in their past and must be experience in working from home with little supervision.
- They want this person to be positive, professional, confident in taking charge of or communications with little hand holding.
- Although it’s not required, they are seeking someone who has worked in the medical device industry.
- PowerPoint skills is a plus.
- Presentation skills is needed.
- Managing relationships is needed.
EXPERIENCE & EDUCATION
- 3-5 years practical conference planning experience
- High school/Degree equivalent is minimum.

Travel to attend conferences (ADA/ADCES)
Responsibilities:
- Liaison between embecta and conference organizations (ADA/ADCES)
- Liaison between embecta and exhibit house (SOW, booth selection, logistics; partner with marketing on booth content, graphics, videos, etc.); lead/manage internal booth planning meetings (booth design, floorplan, budget, artwork/graphics, etc.).
- Leading core and other conference team meetings where appropriate; identifying, managing, following up on next steps.
- Booth registration
- Manage hotel/housing block reservations.
- Manage show attendance: attendee list, conference registration, hotel registrations, exhibitor badge registrations, answer questions from attendees.
- Manage booth staff outfit selection.
- Book team dinners/team-building events
- Book lead retrieval system; send leads to marketing post-show
- Partner with marketing on symposia/product theater arrangements, pre-show booth trainings, show briefing books, creating booth staff schedules.
- Partner with marketing to order/ship samples, demo tools and literature to shows.
- Attend shows and manage booth set-up with exhibit house.
- Partner with marketing on walkthrough booth training at shows
- Partner with marketing on post-show recaps
- Project Management
Execute against tight timelines on time and within budget, raising potential issues accordingly.
